The New York Association on Independent Living (NYAIL) is seeking an Administrative Assistant to provide administrative support to the general operations of the NYAIL office and direct program support to the Open Doors Transition Center.

NYAIL is a state-wide, non-profit organization, working with Independent Living Centers across the State to eliminate physical, communications, attitudinal, and other barriers for people with disabilities. NYAIL members are Independent Living Centers (ILCs), consumer controlled, cross-disability providers of advocacy, services and supports to people with disabilities. The Open Doors Transition Center project is a NYAIL program funded by the NYS Department of Health’s Money Follows the Person project, which assures that residents of long-term care facilities are provided objective information and given the opportunity to live in a community-based setting.   

 

Responsibilities

Under general supervision of the office manager, the administrative assistant provides administrative support to the general operations of the NYAIL office and direct program support to the Open Doors program. This position requires confidentiality, creativity, and the exercise of independent judgment. Responsibilities include, but are not limited to:

  • Provide direct administrative support to the office manager, assistant director, NYAIL programs and events
  • Assist office manager in event planning and coordination of NYAIL conferences,  program meetings and trainings
  • Assist office manager in scheduling and coordination of misc. meetings, events, interviews, appointments, and/or other similar activities, which may include coordinating travel and lodging arrangements, booking meeting space, arranging for meals, etc.
  • Ship program materials and other items as requested by program staff
  • Complete a variety of administrative duties as required by the daily operation of the office (e.g., answering phones, responding to requests for information, word processing, organizing office and program supplies, copying, faxing, mail distribution, filing, etc.)
  • Under supervision of the Open Doors Project Director, coordinate and track the distribution of food gift cards to participants of the Open Doors program who transition out of a nursing home into the community
  • Enter Open Doors referrals received via phone, email or fax into the database.
  • Answer calls to the 800 or NYAIL main number about Open Doors
  • Participate in trainings offered by Open Doors
  • Complete other duties and responsibilities, as specified by the office manager and assistant director


Qualifications:
 

  • Associates degree or 3-5 years of office or administrative experience. In the alternative, an equivalent combination of education and experience to successfully perform the essential duties of the position as listed above.
  • Excellent organizational skills and attention to detail
  • Excellent oral and written communication skills
  • Must have strong computer skills, including advanced knowledge of MS Word, PowerPoint, and Excel
  • Ability to multi-task and work under pressure
  • Ability to work independently, with minimal supervision, and within a team
  • Ability to independently learn and problem-solve new computer programs/software and equipment
  • Ability to set priorities and meet deadlines
  • Ideal candidate will have experience with the concepts of IL, consumer control, and equal rights for persons with disabilities
  • Preference will be given to individuals with personal experience with a disability

 

Salary and Benefits: 

NYAIL offers a competitive salary and excellent benefits. The salary for this position is in the range of $42,000.

Location and Travel:

This is an Albany-based position with remote work available.
